Troubleshooting Google Groups When Sharing Your SpeakerMatch Account

If you’re using a Google Group email address to share access to your SpeakerMatch account with an assistant or team member, and verification emails or notifications aren’t coming through, the issue is almost always caused by Google Groups posting permissions.

Why This Happens

When you use a Google Group as the login email for SpeakerMatch:

  • Login codes and system emails are sent from outside your organization

  • Many Google Groups are configured to accept email only from internal users

  • External messages may be silently blocked without warning

If your assistant isn’t receiving login codes or SpeakerMatch emails, this setting is the first thing to check.


Step 1: Open Your Google Group Settings

  1. Sign in to Google Groups.

  2. Select the group email address you’re using for shared access.

  3. Click Group settings in the left-hand menu.


Step 2: Allow External Senders (Required)

To ensure SpeakerMatch emails can reach the group:

  1. Scroll to the General section.

  2. Locate Who can post.

  3. Set this to Anyone on the web.

This allows login codes and system messages from SpeakerMatch to be delivered to the group inbox.

If “Anyone on the web” is not available, see the troubleshooting section below.


Step 3: Configure Moderation (Recommended)

To avoid spam while still allowing SpeakerMatch emails through:

  1. In Posting policies, find Spam handling.

  2. Set it to Moderate and notify owners.

This prevents messages from being discarded automatically and gives you control if something looks suspicious.


Troubleshooting: “Anyone on the web” Is Not Available

If you don’t see the option to allow external senders, a Google Workspace Administrator must enable it.

Admin Console Changes (Admin Required)

  1. Go to Apps → Google Workspace → Groups for Business.

  2. Open Sharing settings.

  3. Enable:

    • Group owners can allow external incoming email

    • Public as an allowed visibility option

Once enabled, group owners can adjust posting permissions themselves.


Privacy Tip: Keep Member Emails Hidden

Even when external email is allowed:

  • Set Who can view members to Group managers or Group members

  • Do not set the ability to view members to “Anyone on the web”

This keeps individual email addresses private while still allowing shared access.
